Reuters Events, a global producer of industry conferences, delivers events that connect decision-makers and explore strategic challenges across key sectors. For Downstream USA in Houston, TX, JDC Events was engaged to provide U.S.-based operational support when international travel restrictions prevented the organizing team from entering the country. With only weeks to prepare, JDC stepped in as an extension of the client team to ensure seamless execution.
Objective
Provide immediate, in-country event production and operational support to deliver a large-scale trade show according to plan and specification, despite the absence of the primary organizing team.
The program required a coordinated approach to maintain continuity, support multiple stakeholders, and execute with precision under a compressed timeline.
Design
The design of the event focused on ensuring a seamless transition from the overseas organizing team to a U.S.-based partner. With limited time and no onsite client presence, clarity, alignment, and trust were essential.
JDC Events worked closely with Reuters Events and key suppliers to facilitate a smooth handover, quickly integrating into the planning process and aligning on all operational requirements. The team finalized vendor sourcing, confirmed logistics, and established clear communication channels to maintain consistency with the original event vision.
Onsite execution was managed as a direct extension of this design approach. The JDC team oversaw AV production and vendor coordination, managed catering and registration, and directed temporary staff to ensure efficient operations. On the exhibit floor, JDC led move-in, setup, and move-out, monitored safety, supported exhibitors, and addressed real-time changes as they arose.
