A global association’s yearly conference provides an opportunity for members to network and earn continuing education credits.
While historically the conference has been a four-day in-person event, this year’s event was condensed to two days and was fully virtual. JDC Events worked with the host’s team of event planners to structure the online event and select the appropriate platform, adapting their traditional in-person plans to a virtual setting. An event that normally takes six months to plan came together in less than 90 days.
In addition, JDC oversaw production of more than 60 continuing education sessions, which were recorded to be available on-demand after the event. This included working with speakers on in-office recording and making spot checks for editing. With up to eight sessions happening concurrently four times per day over the two-day conference, recording the sessions allowed participants to view sessions they were unable to attend during the event on their own schedules. The conference also featured lunch groups for micro-topics and networking. This conference had more than 1000 virtual attendees overall, twice the number the hosts had anticipated and far exceeding predicted expectations.
“One of the biggest advantages of working with JDC Events is that they are face-to-face meeting and event planners who also have expertise in virtual meetings and events. Many of the companies that were interested in working with us on converting the conference, were focused on providing us with technology but did not have experience in meeting or conference planning. JDC provided us with the great balance of face-to-face meeting planning experience, combined with the technical resources and know-how to execute a virtual experience for our attendees.
“We had low expectations regarding the number of registrants, sponsors, and exhibitors that would be willing to participate in a first-ever virtual conference, and we were blown away with the response! JDC assisted us with all aspects of the conference, including promotion and communications, and assisted us with our efforts to attract registrants and retain sponsors and exhibitors. Our virtual conference was extremely successful at a time when our organization was dealing with a number of significant setbacks due to the Covid-19 pandemic.”
